The Admissions Department

The student assistant for the admissions department is the liaison with current/prospective students. Their daily tasks include e-mail correspondence; processing applications; creating and updating databases; preparing and editing marketing materials as needed; giving campus tours; preparing weekly departmental newsletters.  The admissions department looks for outgoing, responsible, and personable students that will enthusiastically represent AUR.  Remember you are the “ambassadors” to prospective students, the most important people of the admissions process your job is to be “master story tellers”.

VA Student Assistant

The task of the VA student assistant will be to assist the financial aid administrator in all administrative duties for the VA benefits that AUR offers.  This includes checking enrollment status of vets, answering emails and phone calls to vets with questions about the benefits.  Keeping up with new regulations and articles about the ever changing VA benefits programs.  Creating and maintaining a VA club on campus for the Vets currently enrolled at AUR.

Requirement: You must be a vet receiving benefits.

The Peer Mentor Program

The American University of Rome seeks to assist each first-year student to meet the challenges of living, learning and making connections throughout their university experience in Rome and beyond.  Peer Mentors will provide support to help first-year students make the transition to university and to succeed in their academic and personal goals. Being a Peer Mentor looks good on your resume. It is a great way to gain valuable work experience and develop your communication and leadership skills. It is also a good way to reduce your tuition bill.

The Reception

The Student Assistant position at the American University of Rome’s Reception Desk provides for the unique opportunity to gain a better understanding of the inner workings of the University on a daily basis, while being in contact with others outside of the school. Students in this position become the face and voice of AUR, providing invaluable service and help to students, visitors, all academic departments and staff, thus becoming familiar with faculty and AUR students for an array of important tasks. In essence, students will be an assistant to all departments of AUR, ensuring phones are answered, packages, faxes and mail are delivered and visitors are greeted and directed to their appropriate destinations within the University. Important skills required include reliability, basic Italian language competency, good communication and interpersonal skills, the ability to multitask, and lastly, but most importantly, always a warm and welcoming personality. Working at the AUR Reception is an excellent addition to any CV and a good way to gain office expertise, strengthen communication skills in both Italian and English, reinforce interpersonal and organizational skills, gain international experience, all while lowering the cost of tuition.

Student Assistant to the Registrar

This position serves as a contact with students and alumni for the Registrar’s office and performs important clerical duties. Included amongst these are answering questions on the phone and in emails; processing transcript requests and verification and enrollment letters; data entry; and filing of student documents, etc. In addition there are several other special projects that are assigned on a daily basis. This position requires strong commitment with excellent communication skills as well as the ability to work collaboratively with a team. In addition other characteristics needed are a good proficiency with Word and Excel, ability to maintain confidentiality and the ability to work with interruptions and to multitask and to work independently.

Department of Italian Studies

The Department of Italian Studies Student Assistant will provide support to the full-time professors in the department through 15 hours per week of service.  Duties include using your computer skills to create flyers for department events, compiling data for outcomes assessment of student work, photocopying and filing.  Being a Student Assistant looks good on your resume. It is a great way to gain valuable work experience and develop your communication and leadership skills. It is also a good way to reduce your tuition bill.

Student Assistant in the President’s Office

Executive Assistant to the President supports the President’s Office through a variety of important  administrative duties.  We are looking for excellent oral and communication skills, proficient use of Word, Excel, Access, Internet, accuracy and attention to detail, knowledge of and commitment to upholding federal confidentiality guidelines regarding student privacy, ability to maintain confidentiality of academic information, strong commitment and ability to work collaboratively with a team, strong ability to multitask, ability to both work independently and seek assistance when needed.

Student Assistant Responsibilities

Ongoing Projects:

  • Principal tasks (assisting the Chair)
    • Edit the Biz-Zine (alumni newsletter, which is published once a semester)
    • Help in organization and publicity of Study Abroad Night each semester (AURA)
    • Organizational tasks for courses (photocopies, etc).  It is essential that photocopies are checked for quality and content.
    • Department Textbook ordering (October and March); coordinating with BizFac profs, liaison with Library.
    • Composing and distributing flyers for events/trips/etc. in a timely fashion.
    • Assistance with projects related to Girl Scout Management Team of Rome (past examples include work on the GS website).
  • Assist Professors in projects (Outcomes Assessment, IT, Advising etc) as needed.
  • Bulletin boards (2nd floor B Building for Biz and AURA)
    • Keep them busy, colourful, entertaining.
    • Make a list of items that should be on this board all the time, and check it periodically. Include: Flyers/Posters for all events (BizField trip in spring, Business Speaker Series, other special events) and take them down after the event; Posters for BizClub sales and other BizClub info; AURA information; Career Planning seminar flyers; Anything else that comes up or might be entertaining; Make sure that other stuff does not get put up there – other dept’s notices, ads for pubs and parties, etc. (i.e. take it down when you see it). NOTE: The board is yours and will be a reflection of your knowledge and commitment to the department.
    • AURA board (wherever it ends up being) should have copies of flyers, photos of current or past AURA participants that highlight AURA opportunities.  It does not need to be changed as often as the BizBoard.  Once or twice a semester is fine.
  • Work with IT (Rosa) to post articles and photos of BizDept events/trips/etc; and with Maurizia, who be coordinating articles for the Alumni Newsletter.
  • Maintain and occasionally give a facelift to BizFac webpage.

Library Work-Study

Student Assistant Responsibilities

At the start of your shift:

  • Fill the photocopy machine with paper.
  • Put out any newspapers and magazines on the shelves
    • insert tattle tape in magazines and stamp cover/front page with AUR LIBRARY stamp.
  • Put out any returned books waiting in the “to be shelved” space.
  • Shelve books left on tables in the research room and reading room.

During your shift:

  • Check out books as required. Remember to demagnetize and stamp the date on the index card.
  • Check returned books into the catalog, re-magnetize and shelve.
  • Check out and return reserve books to the reserve shelves
    • DO NOT demagnetize VHS tapes!
  • Explain to students that books on reserve can only be used in the Library.
    • Only one reserve book can be checked out at any time.
  • Record an hourly head count on the chart.
  • Update the barcodes in the Excel file you are responsible for.
  • Finish the shelves.
  • Record visitor statistics on the hour.
  • Check staplers.

At the end of your shift:

  • Leave the desk tidy
  • Checked books on “to be shelved” shelf
  • Clear the ‘to be shelved’ space and return books to the main shelves
  • Returned DVDs and VHS to shelves
  • Return reserve books to the reserve shelves
  • Complete your timesheet!

Books – When books are returned to the Library please:

  • Check the book into the catalog
  • Re-magnetize the tattle tape
  • place on the ‘to be shelved” shelf in COL # order

DVDs and VHS

  • When DVDs or VHS tapes are borrowed from the Library you must CHECK THE FILM OUT IN THE CATALOG.
  • REMEMBER: Students can only view movies in the Library. Only Faculty and Staff can take movies from the Library.
  • All DVDs have tattle tape so please remember to demagnetize DVDs as they are checked out and re-magnetize them as they are returned. VHS do not have tattle tape and should not be remagnetized!
  • Please also remember to check that the correct disc is in the box!
  • The DVD and Reserve Collection cabinets should be kept locked at all times.

Toner & Printer Cartidges

New toner and printer cartridges can be obtained from the Finance office (along with other office supplies). Used toner and printer cartridges should be returned to Giulio the handy man.
